  • May 31st through June 3rd is the 2011 MUSE International Conference at the Gaylord Opryland in Nashville, TN and I’m sure many of you will be attending.  I’ve heard from a board member that this year’s conference is jam-packed with wonderful educational sessions and networking opportunities.

Industry Spotlight: Nursing Informatics Review Course at MUSE 2011 International Conference

Are you planning to become a Certified Informatics Nurse? If so you need to attend the Nursing Informatics Review Course June 3-4, 2011 in Nashville, TN. This course will earn the attendee 14.75 CNE contact hours. MUSE International, the course sponsor, is accredited as a provider of continuing nursing education by the American Nurses Credentialing Center's Commission on Accreditation.

According to estimates by the Office of the National Coordinator we will need 9000 clinical informatics professionals in the next five years. MUSE recognizes the need of its nursing membership to have access to a course that will prepare attendees to develop their careers in this specialized field.

This intensive weekend course will focus on content for Registered Nurses who are interested in becoming American Nurses Credentialing Center (ANCC) board-certified Informatics Nurses. Other clinical professional working in informatics may wish to take the course to become exposed to the course topics. The featured topics include: System Life Cycle; Human Factors; Information Technology; Information Management and Knowledge Generation; Professional Practice, Trends and Issues; Models and Theories; and Management and Leadership.

Susan Newbold

Your instructors will be Susan K Newbold, PhD, RN-BC, FAAN, FHIMSS and William Spock, MSCIS, RN. Dr. Newbold is Education Lead for the implementation of the Electronic Health Record at the Hospital Corporation of America (HCA), Nashville, TN. She is uniquely qualified to teach this course as she has experience in the vendor, consulting, academic and hospital world. Dr. Newbold is Board Certified in Nursing Informatics and initiated the first review course in nursing informatics in 1995. In 2001 she won the Sigma Theta Tau International Honor Society of Nursing International Technology Award for Knowledge Advancement for this course.

Mr. William “Bill” Spock is an EHR Project Director, also at HCA, Nashville, TN. As a nurse and project manager, Bill will offer insights and use recent real-world examples in system implementation, project management, integration, and other topics surrounding healthcare information technology. Bill has experience working in the for-profit, non-profit, and vendor healthcare space. Until recently he has worked part time as a hospital staff nurse using the technology he implemented to experience firsthand what nursing and other clinicians contend with during the clinical transformation process.

Guest Spot: Setting Data Repository Transfer Downtime to Avoid Errors

In these busy days in healthcare, perhaps you’ve been given the privilege of maintaining your Data Repository server, in addition to a multitude of other application roles you perform at your facility. SQL Servers do require regular maintenance, such as keeping up to date with Windows updates, rebuilding of indexes, performing backups, and a variety of other tasks. These necessary activities can cause issues such as SQL Server deadlocks, slowdowns in response time, or require a server reboot - leading to dreaded “skipped sequence” errors in the DR module that will need to be reported to your DR specialist in order for the skipped data to properly transfer. In this article, I’ll discuss how downtime can be gracefully scheduled to halt DR transfers during the planned maintenance period - with the transfers resuming after the maintenance period is over. Hopefully, this procedure can lead to the elimination of unnecessary errors. After all, an ounce of prevention is worth a ton of cure.

Downtime Scheduling

Let’s look at how downtime can be scheduled in a Client/Server system (Magic users will follow a very similar procedure) running in Continuous transfer mode. Within the Operations Desktop routine, select the Data Transfers, Schedule, and Edit Downtime Schedule tabs circled below:

These actions will bring up the Downtime scheduling routine, where days involving planned downtime can be selected, along with the corresponding start and end times of each day’s maintenance period. Days can be entered individually, using this syntax for each day: SUN MON TUE WED THUR FRI SAT. Times are entered in a military, 24-hour format, e.g. 0400, 1800, etc. If you plan on performing maintenance at the same time each day, a range of days can be selected within the Days field by using the following syntax: [Start Day]..[End Day]. The example below shows the setting of planned downtime daily for each day of the week, from 12:01 AM to 4:00 AM:

If you need to set downtime that runs across midnight, it will be necessary to enter both days into the schedule. For example, to set downtime from Saturday 10:00 pm to Sunday at 2:00 am, enter the schedule as follows:

When the appointed maintenance period arrives, if all is working correctly, the transfers should automatically halt and display as follows:

Resumption of Transfers

With the transfers gracefully halted, planned maintenance activities can be performed. At the appointed end time of the maintenance period, the DR transfers will automatically resume. Of course, during the downtime, medical information is still being entered into the MEDITECH system, so a buildup of pending activity will continue to occur. In a relatively short amount of time after transfers are resumed, any pending activity should transfer to Data Repository, placing the Transfers into a “sleeping” status while they wait for more edits to be made in the main MEDITECH system. Below is a snapshot of a normal, healthy DR system that has caught up with pending activity after a planned downtime period:

NOTE: In the MEDITECH 6.x systems, in addition to scheduling downtime within these NPR routines, transfers need to be disabled for the MEDITECH Advanced Technology environment. This is done by accessing the Activity routine within the Operations desktop and choosing the Stop Jobs tab. Following the conclusion of downtime, the same routine will present an option to Start Jobs for the disabled MEDITECH Advanced Technology transfers.

Summary

As we’ve seen, MEDITECH presents a simple, yet underutilized, means of gracefully scheduling necessary maintenance activities for your vitally important SQL Server. Regular, ongoing maintenance is the best way to keep your Data Repository system running at peak efficiency, and to confront small problems before they turn into larger ones.

Tricks of the Trade: MEDITECH Magic 5.6 Report Scheduling Access

As an Applications Analyst, you will, no doubt, get many requests from users to create and run reports for them. Sometimes, these reports are a one-time inquiry, or for infrequent use only. Often times, however, users will want to run certain reports on a routine basis. In this case, it's time to use MEDITECH's MIS Report Scheduler to automate the process of running these reports.

To schedule a report in MEDITECH Magic, you print to SCHED. Printing to SCHED brings up the MIS Report Scheduler Enter/Edit Screen.

You need access to the Report Scheduler for your report’s application, if this error appears instead.

Resolve your user’s access issue, by following these steps below.

1. Sign on to the MEDITECH MIS application and select 10 for the User Menu.

2. Key 11 for the Enter/Edit User Dictionary.

3. Key 5 for Report Writer/Financial Data Access.

4. Enter ALL or a list of applications under Report Scheduler as best fits your user’s report scheduling needs.

5. Key F12 and File.

Next time your user attempts to schedule a report, the MIS Report Scheduling Enter/Edit Screen will appear as expected.

About the Department:

Sturgis Hospital's Clinical IT Department uses MEDITECH MAGIC and is LIVE with Pharmacy (PHA), Laboratory (LAB), Radiology (RAD), Clinical Review (EPS), Bedside Medication Verification (BMV), and Nursing (NUR) applications.  We are currently LIVE with POM/CPOE for some providers, and plan to have all providers LIVE within the calendar year.

Position Profile:

Reporting to the Director of Patient Care Services, the Manager of Clinical IT Systems directs the development and implementation of the IT clinical system for physicians and clinical staff based upon the hospital needs and services.  Must have thorough knowledge of MEDITECH clinical applications, including building and troubleshooting dictionaries, and integration of the modules.

Qualifications:

We are seeking a motivated individual with prior experience in MEDITECH Clinical applications.   Must be familiar with and serve as a resource for computer applications.  Must have demonstrated ability to develop and implement strategic IT programs.  Must be able to communicate effectively at all levels of the organization.

  • Current state RN Licensure preferred.
  • Bachelors degree, or BSN, preferred.
